Overview

After uploading files to a tenant, owner, or lease, you can share them directly through the Tenant Portal or Owner Portal. It’s a quick way to keep everyone informed and give access to important documents without the back-and-forth.

Note: Before you can share files with your tenants and owners, you'll need to make sure that viewing of files on both the tenant portal and owner portal are enabled. For instructions on how to enable these settings, read the article: Enable Viewing of Uploaded Files on the Tenant Portal and Enable Viewing of Uploaded Files on the Owner Portal.

The Steps

Share a Files from the Files Section

  1. To share a file from the Files section, click Files on the main menu.

  2. On the All Files section, any file that can be shared will appear with a Share File link on the Shared With column at that file. On the file you want to share, click the Share File link.

  3. The Share File window will now appear. You will have two options here to chose from:

    • If the file is only associated with a tenant or owner, you'll need to select ether the tenant or owner to share the file with.

    • If the file is associated with a lease, you have the option to share the file with the tenant and/or the owner at the same time.

  4. Click Share File to finish.

Once shared, the Shared With column shows how many people that file was shared with.

Tip: You can only share files associated with either a tenant or the owner. So, files associated with leases, tenants, properties, and units.

Tip: You can also share a file directly from the object it's associated with (for example, a specific lease or property), instead of going through the Files page. Go to the object, click its Files tab, and click Share File on the file you want to share — the same Share File window and options apply.

Unshare a file with a tenant or owner

You can unshare a file with a tenant or owner if you no longer want to share the file with them or if you shared the file with them by accident.

  1. To unshare a file with an owner or tenant, on the All Files page, click Share File on the file you want to unshare.

  2. Deselect the tenant or the owner from the dropdown menu.

  3. Click Share File again to confirm. The file is now removed from their tenant or owner portal.

Once a file is shared or unshared, the change takes effect immediately on the tenant's or owner's portal.
