Overview
AI Inspections streamlines the property inspection process with a mobile-first, automated workflow. Instead of managing inspections manually, you can generate an inspection checklist automatically, complete the inspection from any device, and get a professional report as soon as it's finished. This includes move-in and move-out workflows and the ability to create work orders directly from inspection findings.

The Steps
Step 1: Select a Lease With the Unit You Need to Inspect
Select a lease, draft lease, unit, or property that needs inspecting. Repeat this step for each one you want to inspect.
To begin setting up an inspection, click Leasing > Inspections on the main menu. Then click the "Start AI Inspection" button.
On the Inspections page, click Lease, Lease Draft, Unit, or Property.
On the Select What to Inspect window, choose the lease, draft lease, unit, or property you want to inspect.
On the details dialog, click Confirm Selection to continue. (To select a different lease, click Change Lease to go back.)
On the Inspection Settings, first select the Inspection Type this will be. The choices include Move In, Move Out, and Routine.
Select a scheduled inspection date using the calendar icon, or enter one manually in MM/DD/YYYY format.
Select who will conduct the inspection. Choose a user from your team, or click Assigned to Me to assign it to yourself.
(Optional) Set the Item Documentation Rules. By default, the documentation requirement for each condition type is set to optional. To change this, click Edit next to Item Documentation Rules.
On the Item Documentation Rules window, set each item's requirement to optional or mandatory based on its condition. If an item is marked mandatory, the inspector won't be able to proceed until they meet that requirement. Click Save and Close when finished.
Back on Inspection Settings, click Approve Settings to continue.
You will now see the Inspection Settings Summary with the scheduled date and the inspection type.
Step 2: Create an Inspection Layout
The next step is to create an inspection layout. This is basically a list of each room and item that needs inspection within the unit. You can create an inspection layout via three different methods:
Quick Start: Use a prebuilt layout based on the unit details, then adjust as needed.
Upload PDF: Upload your layout file (PDF, DOCX, TXT, CSV, PNG, JPG, or MD, up to 2 MB) and edit as needed.
Reuse Previous Layout: Copy the areas and features from your most recent inspection, then make changes as needed.
Use Template: Pick a saved template with predefined areas and features, then customize before starting.
An Inspection Layout draft will be created for you to look over. Click each Area in the Inspection Layout and check all the Items included in the Area. From here you can also rename the Area and the Items. See Managing Areas in an Inspection Layout for more details on how to this.
Regardless of which option you chose, click Approve Layout to continue to the next section. You can also click the little dropdown arrow and select Approve & Create Template to create a template based on this layout. Otherwise, click Back to Layouts to choose a new option and start over again.
After approving the layout, you'll see the Inspection Layout Summary, showing each room, the number of items to inspect in it, and the overall totals.
The next step would be for whoever is assigned to the inspection to start the inspection.
The assigned inspector can now start the inspection.
Managing Areas in the Inspection Layout
Add an area: Click + Add Area to create a new area, then name it and add the items to inspect.
Delete an area: Click the 3-dots button next to the area and select Delete.
Edit an area's details: Click the area in the list to edit its Area Name, or add and remove Area Items using + Add Items or the trash bin icon. Click Save when finished.
Duplicate an area: If you need an identical area — for example, a second bedroom with the same layout — click the 3-dots next to the area and select Duplicate Area. This creates a new area with the same name and items, which you can then edit as needed.
Once the layout is approved and the inspection is scheduled, it's ready for the assigned inspector to begin.
