The Steps

Step 1 - Select a lease with the unit you need to inspect

The first step is to select a lease on the unit that needs inspecting. You will need to complete this step for each lease you want to inspect.

  1. To begin setting up an inspection, click Leasing > Inspections on the main menu. Then click the "Start AI Inspection" button.

  2. Then, click Choose Lease.

  3. On the Choose Lease pop-up, select the lease you want to set up an inspection on.

  4. You will now see the Lease details dialog. Click Confirm Lease to move on to the next section. (If you want to select a different lease, click "Change Lease," which takes you back to the previous step.

  5. On the Inspection Settings, first select the Inspection Type this will be. The choices include Move In, Move Out, and Routine.

  6. Then, select a scheduled inspection date by clicking the calendar icon or manually entering a date in MM/DD/YYYY format.

  7. After selecting the inspection date, select who will be inspecting the property. Choose a User from your team or you can click "Assigned to Me" if you want to assign the inspection to yourself.

  8. Optionally, you set the Item Documentation Rules. By default, the requirements for each type of condition you choose is set for optional. If you want to change this, click Edit in the Item Documentation Rules.

    Once you click Edit, you'll get the Item Documentation Rules window. Here you'll be able to set either optional or mandatory requirements depending on the condition of the item you are inspecting. If you set any items as mandatory, the inspector will not be able to move on until they meed the requirements.

    Once these rule are set, click Save and Close.

  9. Back on the Inspection Settings, if everything is set up correctly, click Approve Settings to continue.

  10. You will now see the Inspection Settings Summary with the scheduled date and the inspection type.

Step 2 - Create an inspection layout

  1. The next step is to create an inspection layout. This is basically a list of each room and item that needs inspection within the unit. You can create an inspection layout via three different methods:

    • Quick Start - (Recommended) Clicking this will automatically create a list of items and rooms for inspection, based on the type of unit being inspected and the amenities you have filled out for that unit.

    • Upload PDF - If you already have an inspection checklist you are using, you can upload that list as a PDF file, and the AI will convert that into a usable inspection layout for DoorLoop.

    • Reuse Previous Layout - You can use this if you've had previous inspections before and you want to use the same layout.

  2. An Inspection Layout draft will be created for you to look over. Click each Area in the Inspection Layout and check all the Items included in the Area. From here you can also rename the Area and the Items.

  3. Regardless of which option you chose, click Approve Layout to continue to the next section. Otherwise, click Back to Layouts to choose a new option and start over again.

  4. After approving your layout, you will see the Inspection Layout Summary with your rooms, the number of features that need inspecting in each room, and the totals.

  5. The next step would be for whoever is assigned to the inspection to start the inspection.

How to add or remove Areas from the inspection layout:

  • If you need to add an Area to the inspection layout, use the "+ Add Area" button. This will create a new area where you can name it and add items to inspect.

  • If you need to delete an Area, click the 3-dots button next to the room you want to delete and select Delete from the pop-up menu.

How to edit an area's details:

You can edit an area's details by clicking on an area in the list. From here, you can edit the Area Name and add or delete Area Items (by using the "+ Add Items" or the trash bin icon). Click Save when you are done entering the room details.

How to duplicate an Area:

If you already created an Area, but need to duplicate it (for example, if you set up a bedroom already and there's an identical bedroom in the unit), click the 3-dots next to the room you want to duplicate. Then click "Duplicate Area" from the pop-up menu. This will create a new Area with the same name and features as the original area. You can click the area to make any edits where needed.
