Enable Access to the Tenant Portal After a Lease Ends or a Tenant Moves Out

Allow tenants to access their portal to pay overdue charges after their lease ends or they move out.

Overview

By default, tenant portal access ends immediately when a lease ends or a tenant moves out. If you want former tenants to still be able to log in — to view final charges, make payments, or download statements — you can enable extended access and choose how many days it lasts.

The Steps

Step 1 - Enable Extended Portal Access

The option to extend portal access only appears during the End Lease or Move-Out process if it's turned on first in your Tenant Portal settings.

  1. Click Settings on the main menu, then under the Property Settings section, click Tenant Portal.

  2. Toggle on "Extend access to the tenant portal even after a tenant has moved out."

  3. Set the Extension Length — the number of days the portal stays active after move-out. (Default is 30 days.)

  4. Click Save & Close to finish.

Note: You can also enable this at the property or lease level instead of the company default — useful if only certain properties or leases should have extended access. Go to the property or lease's Settings > Tenant Portal, select "Specify portal features for this property/lease," then follow the same steps below.

Step 2 - Use It When Ending a Lease

  1. On the lease you want to end, click Manage Lease in the top right corner and select End Lease.

  2. Go through the End Lease wizard as normal — set the move-out date and continue.

  3. On the End Lease step, toggle on "Extend access to the tenant portal after a tenant has moved out."

  4. Click End Lease Now to finish.

Once the lease is inactive, the tenant will still be able to log into their portal to make payments, for the number of days you set in Step 1.

Step 3 - Use It When Moving Out a Tenant

As long as "Extend access to the tenant portal even after a tenant has moved out" is turned on — whether at the company, property, or lease level, whichever is active for this lease — the tenant will automatically keep portal access once you complete the move-out.

  1. On the lease, click the Tenants tab.

  2. Click the 3-dots next to the tenant you want to move out and select Move-Out.

  3. Enter the Notice Date and Move-Out Date, then click Save. (This only works if there are multiple tenants on the lease — otherwise use End Lease instead.)

Once saved, the moved-out tenant will be able to log into their portal for the number of days set in the active Extension Length, to make any payments they still owe.
