Overview

Keep your leasing process moving without the back-and-forth. DoorLoop Showings lets you set agent availability, let prospects book tours based on real schedules, and track every showing in one place. From the first booking to the final follow-up, everything is organized so your team can stay on top of showings, respond faster, and turn more tours into applications.

How Showings Works in DoorLoop

The full flow has four parts. Most teams set it up once, then live in steps 3 and 4 day-to-day.

1. Set up Showings (admin, one-time)

Before anything else can happen, an admin needs to turn Showings on at the company level. This is where you decide whether prospects can self-schedule tours directly from your listings website and whether agents get an automatic email the moment a tour is requested. You can also override these defaults at the property level — useful when a specific property has different hours, a different leasing process, or shouldn't accept self-bookings at all. Once these settings are on, the "Book a tour" button appears on your listings, and leads coming in from syndication partners via Lead API can be automatically invited to book.

2. Set your availability (each agent)

Showings availability is set per agent, not per company. Every agent picks the properties they're responsible for, the hours they're available, and how long each booking slot should be. From that point on, tours auto-assign to the right agent based on the property the prospect is booking — no spreadsheets, no group emails, no "who's covering this one?" Slack threads. If your team grows or coverage shifts, each agent just updates their own availability and the booking engine adjusts automatically.

3. Manage scheduled showings (day-to-day)

This is where most of the work actually happens. The Showings Dashboard (under Leasing > Showings) is your follow-up hub — track every scheduled tour, mark them as completed, no-show, or canceled, and send a rental application straight to prospects who toured. And from any prospect's profile, you can either pick a time and lock it in or send an invitation that lets the prospect choose their own slot. Together, these three views replace scattered notes and missed follow-ups with one clear pipeline.

4. Understand the prospect experience

It helps to know exactly what prospects see on their end — both so you can answer questions and so you know what to expect when you send a "Book a tour" invitation. From your DoorLoop listings page, a prospect clicks "Book a tour," picks a date and time from the available slots, sees a confirmation screen, and gets a confirmation email. The booking lands on the assigned agent's calendar and shows up on the Showings Dashboard automatically. It's a few-clicks experience designed to convert listing traffic into booked tours without anyone on your team lifting a finger.

5. Showings Dashboard Widget

The Upcoming Showings widget gives you a quick view of all scheduled property showings directly from your Dashboard, making it easy to stay on top of upcoming appointments without navigating to the Showings page. The widget displays your upcoming showings at a glance so you can monitor your schedule from your Dashboard home screen. It is not enabled by default, but you can easily add it by selecting Customize Dashboard and dragging the Upcoming Showings widget onto your dashboard. Once added, it becomes part of your personalized Dashboard layout and is available each time you sign in.

6. Showings Integration with DoorLoop Calendar

The Calendar now includes your property showings, allowing you to manage appointments alongside your other scheduled events in one place. Both showings scheduled by prospects and those created manually by property managers are automatically displayed on the calendar, making it easier to track upcoming appointments and avoid scheduling conflicts. You can view showings in either the calendar or list view and use the event filters to display only Showing events when you want to focus exclusively on your property tours.
