Audit Log Report - Track Every Change in Your Account

How to use the Audit Log report to track who did what and when across your DoorLoop account — including field-level change history.

Overview

Who changed the rent amount on Unit 4B? When did someone delete that vendor bill? Which team member updated the lease terms last Thursday?

The Audit Log answers these questions in seconds. It's a searchable, filterable record of every action taken in your DoorLoop account — every create, update, delete, and view — with exact timestamps, IP addresses, and field-level change history showing precisely what was modified.

You'll find it under Reports → Audit Log.

What Gets Tracked

DoorLoop logs every action in your account automatically. Each log entry records who performed the action, what they did, when they did it, where they were (IP address), and — for updates — exactly which fields changed and what the old and new values were.

Actions are categorized as:

  • Created — A new record was added

  • Updated — An existing record was modified (with before-and-after values for every changed field)

  • Deleted — A record was removed

  • Viewed — A record was accessed

The log covers all record types in your account, including: Properties, Units, Leases, Tenants, Owners, Vendors, Lease Payments, Lease Charges, Lease Credits and Refunds, Bank Deposits, Transfers, Vendor Bills, Accounts, Tasks, and Notes and Files.

Reading the Report

Each row in the Audit Log represents a single action. The default columns are:

Timestamp

Date and time of the action

Performed By

Who performed it — with icons for special access types (see Access Indicators below)

Person Type

Whether the actor was a User, Tenant, Owner, Vendor, or System

Action

Created, Updated, Deleted, or Viewed

Entity Type

The kind of record affected (e.g., Lease, Property, Lease Payment)

Entity ID

The unique identifier of the affected record

IP Address

Where the action originated from

Changes

Number of fields modified — click to open the detail drawer

You can add more columns using the column selector:

  • Entity Name — The display name of the affected record (e.g., the property address or tenant name)

  • Message — A system-generated summary of the action

  • Location — City and country derived from the IP address

  • User Agent — The browser or device used

Viewing Change Details

Click any row to open a detail panel showing the full picture:

  • Metadata — The entity, action type, who performed it, when, IP address, location, and device

  • Access indicators — Whether the action was performed via technician access, an API key, or impersonation (see Access Indicators below)

  • Field-level change diff — For updates, a side-by-side comparison of old and new values for every modified field

This is where the Audit Log becomes especially valuable. Instead of guessing what changed or asking your team, you can see that the monthly rent on Lease #1042 was changed from $1,800 to $2,000 by Sarah on March 12 at 3:47 PM — in one click.

Filtering

Use the filter bar to narrow the log to exactly what you need:

Date Range

Limit results to a specific time period (defaults to Last 7 Days)

Person Type

Show only actions by Users, Tenants, Owners, Vendors, or System

User

Show only actions by a specific user

Action

Show only Creates, Updates, Deletes, or Views

Entity Type

Show only actions on a specific record type (Lease, Property, Payment, etc.)

More filters

Reveals additional filters: Tenant, Entity ID, and IP address

You can also use the column-level filter menus (click the filter icon on any column header) to refine results further without re-fetching data.

Tip: Combining filters is the fastest way to find what you're looking for. For example, set Entity Type to "Lease," Action to "Updated," and Date Range to "Last 30 Days" to see every lease modification in the past month.

Grouping Results

Use the Group By option to organize the log into collapsible sections:

  • By User — See what each team member has been doing

  • By Person Type — Separate user actions from tenant, vendor, or system actions

  • By Action — See all creates, updates, deletes, or views together

  • By Entity Type — Focus on a specific area of your account

  • By Date — Review activity day by day

Access Indicators

When an action was performed through special access, the Performed By column shows an icon next to the name:

Amber person icon

Technician access — DoorLoop support accessed your account

Purple person icon

Impersonation — A team member acted as another user

Blue "API" badge

API access — An integration or automation performed the action

These same indicators appear in the detail panel when you click a row, so you always know how an action was performed.

Common Use Cases

Investigating a discrepancy

A tenant says their rent changed without explanation. Open the Audit Log, filter to lease updates, and find the lease. The detail panel shows you exactly who changed the amount, when, and what the previous value was — giving you a clear answer in under a minute.

Monitoring team activity

Group the log by User to get a quick summary of what each team member has been working on. You can see at a glance who's been creating leases, updating tenant records, or processing payments.

Security review

Filter by Action = Deleted to review all deletions, or scan IP addresses for anything unexpected. The access indicators make it easy to spot actions performed via technician access, API keys, or impersonation — so you can flag anything that needs a closer look.

Compliance and auditing

Set the date range to match your audit period and export the results. The log provides the detailed, timestamped, field-level change history that auditors expect — without you having to reconstruct it manually.

Good to Know

  • Date range default: The Audit Log defaults to the last 7 days. For broader investigations, expand the range using the date filter. Larger ranges return more data and may take a moment longer to load.

  • Data retention: Audit log data is retained for the lifetime of your account.

  • Export: You can export the current filtered view for offline review or compliance documentation.
