Charge a Specific Prospect a Different Application Fee Amount

How to charge different rental application fees for each prospect for the same property.

Overview

Depending on your rental application workflow, you might need to charge prospects different application fees even if they are applying for the same property. For example, you might make an exception for someone to pay less than you normally charge.

Let’s go through how to do that now!

The Steps

  1. To charge a custom rental application fee for a specific prospect, click Leasing on the main menu and then click Rental Applications.

  2. Click the + New Application button.

  3. Click the + New Prospect button to create a new prospect. (You can also select a current Prospect if you have already entered them into DoorLoop.)

    Enter as much information for the prospect as you’d like, but only either a First Name and Last Name combination or Company name is required. It is recommended that you also add their contact information, either their email, mobile phone number, or both. This will let you send them the application directly later on in the steps.

  4. Click Save to continue.

  5. Select the Property and Unit the rental application is for using the drop-down menus.

    Optionally, choose which user or users you want to manage this application in the Assigned To drop-down menu. You can also set the Expected Move-in date if you want to, but the prospect will also enter this when they apply.

  6. Next, you'll notice that there is a toggle that reads, "Specify fees for this application". If you don't want to charge any fees for this particular prospect, then keep this toggled off. It will allow them to feel out the rental application free of charge.


    If you want to charge them, toggle on Specify fees for this application".

  7. You'll now see the section titled "Manage Application & Screening Payment".

    Here you select the payment option that best fits your needs. You have three choices:

    • Screening Fee: Use this option if you don't have a Merchant account set up, but still want to run a background check for applications. There will be a $49.90 fee charged to the applicant.

    • Cover Screening Costs: This option will not charge the tenant for the rental application and will not request reports automatically. If you decide to request reports after, you will be charged an amount for requesting reports based on your subscription plan.

    • Customize Your Fee: This option lets you enter a custom amount to charge the applicant for the application fee. Note that using this option will always deduct $3.50 for the credit card processing fee. Here you can also decide whether or not to run screenings that the applicant will pay for. Click the box for "Deduct Screening cost from application" to run screenings. The screening fee is based on your subscription tier.

  8. Click the box labeled "By using the rental application, I accept the DoorLoop and TransUnion Terms and Conditions."

  9. When you are finished, click Save.

  10. You'll be taken to the Rental Application tab on the Prospect's profile page. Use the Send Application button to send the application to the Prospect directly. (This will only be sent if you have added contact information for the Prospect and will be sent by Email or SMS).

    If you did not enter an email or mobile phone number, using the send application button will create an error. Click the View link and you'll be able to enter their contact information. once you do that, you can use the Send application link again.

Important: This link is specific to the prospect. Do not use this link for multiple applicants as doing so will overwrite the existing application each time someone new uses it.

That’s all! If you’ve set up DoorLoop to send notifications when prospects submit rental applications, you’ll get an email when this application is ready for you to review.
