Overview
DoorLoop defines a Prospect as someone you've identified as a potential tenant. When an applicant submits a rental application, they will automatically be created as a Prospect in DoorLoop.
However, you can also add Prospects yourself before they submit rental applications.
The Steps
To add a new prospect, click + Create New at the top left corner and then click Prospect under the People section.
On the New Prospect window, in the Personal Info section, enter as much information for the prospect as you’d like, but a First Name and Last Name combination or a Company name is required. Additional fields you can enter are the Date of Birth, Social Security Number, Company, and Job Title. Much of this is also automatically added if the prospect fills out a rental application. There's also an optional Notes section for any additional information you want to add.
On the Contact Info section, you must enter a Phone number and/or Email address to continue. (Please note that if you enter an email address, it must be a valid email address. You can not enter a non-existent email address and will encounter a validation error if you try to do so.)
From here, you can click Save after entering the minimal amount of info or continue to enter more.
If you want to continue adding information, you can, although these are optional:
Address - (Optional) enter the prospect’s current address.
Alternate Address - (Optional) add a secondary address if needed.
Marketing Profile - (Optional) section, there are several fields that you can use to filter by later if you set them. This helps you more easily sort and find specific prospects.
Assigned To: select which DoorLoop user you'd like to assign this prospect to.
Lead Status: set and track the status of the prospect lead. This section automatically updates itself based on the stage at which the prospect is in. It can also be manually selected.
Min Bedrooms / Min Bathrooms: enter the number of beds/baths the prospect prefers to have for their rental.
Property: add as many properties as you need to associate with this prospect.
Pets - (Optional) input any information about a prospect’s pets. You can enter information such as the pet’s name, type, breed, color, gender, age, and weight. There’s also the option to disclose if the pet has been spayed/neutered and if the pet is a service animal. Lastly, you can add multiple pets as well.
Vehicles - (Optional) add a prospect’s vehicle(s) with information such as make, model, year, color, license plate, and state of the plate.
Dependent - (Optional) enter information about a prospect's dependents.
Click Save, and your new prospect will be added to DoorLoop. You can track their status and add them as tenants if you rent to them later!
What is a Lead Source?
A lead source refers to the specific origin from where the lead came from. In DoorLoop's case, it would be from one of our listing partners.
What is a Lead Medium?
A Lead medium refers to a broader category or channel through which your lead was obtained. For example, organic traffic, paid ads, social media, referrals, email, or direct. In terms of DoorLoop, you can enter anything here.
