Overview
This is a general overview of how to use Reports and the various options you have while viewing them. Many of them are customizable and can be filtered to show a specific set of data depending on your needs. We'll show you how to do this so you can get the exact report you need.
Tip: If you customize a report with additional filters and columns, you can bookmark that specific report and its settings. Next time you open the report using the bookmark, it applies all the same filters and column settings.
Parts of a Report
Main Report
This is where all the data is shown based on the current filters. By default, this is just the data given to you when you first click into a report.
At the top of the main report, you'll normally find a quick filter menu with various options. These differ depending on the report you're on, but some filters are common across most reports — covered below.
Report Period - Date Range
Each report has a date range set to it, which tells the report what data to retrieve for what time period. If you want to change the date range of the report, use the date picker dropdown menu and use the From and To fields to select a date range, or use the predefined ranges on the left panel.
Group By Filter
The Group By filter sorts your report and arranges it by a specific set of data. On the Transactions List Report, for example, you can group data by Date, Type, Name, Account, Property, Payment Method, and Deposit. This differs based on the report you're using.
Type Filter
This filter is used to filter for specific results only. For instance, if you only want to see Deposits, Charges, or Payments, that's what you would select.
More Filters
The More Filters button is where you will find additional ways to filter your data. There are additional filters available here, helping you narrow down your results even further to get to the data you need.
Columns
Reports can be customized to hide or show columns based on your needs. Click the Columns button at the top corner and select of deselect the columns you want to view or hide.
Export and Print Reports
All reports now feature an Export button that lets you download your reports in three different formats:
PDF
CSV
Excel
Once downloaded, you can print them out for your records if needed. This is useful if you are trying to create backups of all your data.
Advanced Search
Each report has an advanced search field. From here, you can search for items such as people's names, properties, leases, and even transaction amounts.
Custom Views
DoorLoop Reports support custom views. What this means is that you can set up the report based on any of your filters that you've selected, and save that as a custom view so your filters are always in place and you can view the report the way you want to each time you visit it. To do this, click the New View tab after loading all the filters and columns you need.
Not all reports have every filter option covered above, mainly due to the nature of the specific report. Some reports have special features covered in their own individual articles.
