eSignature Template Fields and What They Do

Are you creating an eSignature template and are a bit confused about what the different fields do?

Overview

Creating eSignature templates can be overwhelming, especially if you've never created them before. The one question that is asked most frequently however is how to add fields that autofill information and how to add signer fields.

Signers

There are four different signers you can choose from, each has their own set of fields you can use. There is the Me (Now), Sender, Tenant, and Property Manager signer roles. Me (Now), Tenant, and Property Manager ones are limited to only the fields you see on the left side. Most likely, you will not be using the Me (Now) role.

  • You can use the Me (now) signer role to add fields for the eSignature creator to fill out when using the template. Note that the Me (now) signer role is limited to the Auto-fill and Standard fields because there is no document to be signed right now.

Tenant and Property Manager

You will however be using the Tenant and Property Manager ones more for signature fields and certain autofill fields.

These fields are available for any of the Tenant and Property Manager roles you have set.

  • The Signature fields include basic signature fields for each signer. Drag the Signature and Initials fields needed from the left-hand menu onto the document, placing the boxes where required. This will be wherever a signature or initial is required.

  • The Auto-fill fields include basic fields that get filled in automatically based on who the signer is. This includes the Date Signed, Full Name, Email, Company, and Job Title.

  • The Standard fields section on the left menu allows you to create your own fields for the signers to fill out. These fields include Textbox, Checkbox, Dropdown, and Radio Group. Configure these fields after placing them using the menu on the right.

  • For multiple signer roles, change the role using the Signers drop-down menu at the top of the left menu and then add this role's signature box and fields.

  • You can use the Sender role to add Textbox and Checkbox fields related to the type of agreement and the user roles that are part of this template. For example with a lease template, you can use the Textbox field to fill in lease start and end dates. (more on this in the next section).

Sender

For fields that are not Tenant or Property Manager specific, you would use the Sender role.

  • You can use the Sender role to add Textbox and Checkbox fields related to the type of agreement and the user roles that are part of this template. For example with a lease template, you can use the Textbox field to fill in lease start and end dates.

  • When you use the Textbox field, there are additional auto-fill selections if you use it with the Sender signer role. For more information on this, check out the article for How to Automatically Fill in Lease Information with Your Signature Request Templates.

  • Auto-fill fields basically pull the information you have about a specific property and unit along with any information you might have already inputted for a Draft Lease or Active Lease and automatically fill that into your lease template.

When you are finished setting up your signature tenplate, click Save Template to finish. You will be able to go back to your saved template if you need to make any changes.
