Edit or Delete a Task [HOA]

If you need to edit or delete a task or recurring task, this is how you would do it.

Overview

You can easily review, update, and reassign recurring tasks, as well as communicate these updates to the assigned users. This ensures everyone remains in the loop and keeps your workflow running smoothly.

For example, you might change the end date or frequency of a recurring task, or assign a different user to these tasks.

The Steps

Edit a Task

  1. To edit a task, click Tasks & Maintenance on the main menu and then click All Tasks or My Tasks.

  2. Find and click on the task you want to edit.

  3. You'll now be on the task Overview page. Here, you can review information about the task. Use the Quick Actions buttons to Post an Update, Complete Task, or create a New Work Order. You can also delete or edit the task by clicking on the blue circle with the three vertical dots in the upper right corner.

    The Activity Feed will show past updates, messages, and timestamps.

  4. You can update the task using the following Quick Actions buttons:

    • Post An Update: This button allows you to add a message and change the due date, status, priority, and assignees. You can choose to notify the assignees of these changes via email.

      (Note that if you add an assignee as part of the update, that specific new assignee won't get an email notification about their initial assignment, only future updates to the task.)

    • Complete Task: Clicking on this button will instantly change the status of a task to “Completed.”

    • New Work Order: Creating a new work order from a task will display a link to the parent task in the Related To box of the new work order.

  5. Other items you can edit or add to the task are Notes, Files, and Subtasts. These can be added, edited, or viewed under their respective tabs.

Delete a Task

As mentioned above, deleting a task is as simple as clicking the Blue Circle at the upper right corner of the task Overview page and then clicking Delete on the popup menu.


Edit a Recurring Task

  1. To edit a recurring task, click Tasks & Maintenance on the main menu and then click Recurring Tasks.

  2. Find and click on the recurring task you want to edit.

  3. You'll now be on the Edit Recurring Task window. From here, you can edit every aspect of the recurring task, such as the frequency of when it ends, the assignees, and more.

  4. Click Save when you're finished.

Delete a Recurring Task

To delete a recurring task, you would still go to Tasks & Maintenance > Recurring Tasks. But instead of clicking on the item, click on the vertical three dots icon on the right side of the recurring task and choose Delete Task.

You'll then need to confirm you want to delete the recurring task on the Delete Confirmation window. Click Delete again.

Note: If you notice the same task appear over and over again under All Tasks, you should edit or delete it. This means the recurring task is still active and running on schedule.
