Everything you need to know about staying organized with DoorLoops Calendar feature.

Overview

The DoorLoop Calendar is your central hub to conveniently important events in DoorLoop. This includes move-in and move-out dates, as well as all tasks (tasks, work orders, requests). Having all these items on an easily accessible calendar allows for better organization and planning when it comes to property management.

Note: The Calendar feature is not available to Starter Plans. Consider upgrading to the Pro or Premium Plans to access this feature.

Access the Calendar

  1. To access the Calendar, click Calendar on the main menu.

  2. From here, you'll have two choices, Calendar and Occupancy Overview.


Calendar

The Calendar is where you will see an overview of important events occurring on any given day. These events include move-ins, move-outs, tasks, tenant requests, owner requests, and work orders. These are coded as follows:

  • Move-In (start date): Green

  • Move-Out (end date): Red

  • Tasks (tasks, work orders, requests): Purple

There will be several things to note about the calendar view.

  • Leases that are month-to-month or set to rollover to month-to-month will not appear on the calendar.

  • Only tasks and work orders with due dates and assigned Users will be shown. Tasks will only show up to 60 days in the future or up to 7 days after they expire.

  • Recurring tasks and recurring work orders WILL NOT appear on the Calendar until the actual task or work order is created. Meaning if a task is scheduled to occur each Monday, you'll only see it displayed on the Calendar each Monday after it is created, not before.

Like most Calendars, there will be different views available. You can view the calendar in Monthly view, Weekly view, and Daily view. There's also a List view.

  • Month view - Title of each event shown on the day of the event. If there are many events on any given day, there will be a "more' button to expand the list.

  • Week view - This displays a 7-day calendar with the ability to show more items on each day. Each event will show the title and the property/unit associated with it.

  • Day view - Only shows events for a particular day. Each event will show the title and the property/unit associated with it.

  • List view - List view will only show a list of days that have events attached to them.

Tip: You can also customize the Calendar view with various filters. By clicking on the Filter button, a slide-out Filter panel will appear. You'll be able to filter by various criteria whether it be general filters, lease filters, task & request filters, and work order filters.

Subscribe to Calendar

At the top right corner of the Calendar is a link to "Subscribe to calendar". Clicking this will bring up a *.icf (universal calendar file) link that you can paste into any calendar application such as Google Calendar. This will let you subscribe to the calendar so you can also view these items in your calendar of choice.


Occupancy Overview

The Occupancy Overview is a visual overview of upcoming, ongoing, and past leases on a calendar timeline. This helps you gain a better understanding of the occupancy and vacancy periods for your managed properties. The Occupancy Overview is displayed in a monthly view with dates as columns and properties and units as rows.

If you click on one of the leases, a popup will appear with the following information:

  • Lease Name

  • Property Address

  • Move-In Date

  • Move-Out Date

  • Tenants

There will also be a link to View Lease. Clicking on this button will take you to the Lease's overview screen.

Tip: If you want to customize the Occupancy Overview screen, you can click the Filters button and apply filters to it. This includes being able to filter by Portfolio, Property, Unit, and also by Lease Status, Term, and whether or not there are any rollover leases.


Weekly Agenda

A new Weekly Agenda will be emailed to you each week outlining upcoming events for the upcoming week ahead. This email will include move-ins, move-outs, tasks, tenant requests, owner requests, and work orders. This email will be sent out every Monday morning.


As you can see, the DoorLoop Calendar makes organizing your tasks and leases as simple as viewing a calendar. This is a much easier way to view your daily events at a glance.
