Download a Lease Account Statement for Your Tenants

Manually generate and download a lease account statement in DoorLoop — useful if an automatic statement didn't send, or if you'd rather send one manually instead.

Overview

A lease account statement (also called the tenant ledger or lease ledger) summarizes all charges and payments posted to a tenant's lease. If you have automatic account statements turned on but one didn't go out, or if you'd rather generate one manually, here's how.

Note: The lease account statement reflects charges and payments on the lease ledger. A security deposit will only appear once both the deposit charge has been posted and a payment or credit has been applied to it. If the statement shows the deposit charge with an open balance but no payment, the payment hasn't been recorded yet — see Why Doesn't My Security Deposit Show on the Lease, Statement, or Deposits Tab?

The Steps

Download the lease account statement (lease ledger)

  1. On the main menu, click Leasing > Leases on the main menu.

  2. Find the lease you want to send an invoice for, and click on it.

  3. On the lease, click the Transactions tab. On the top right corner of the transactions, click Export Statement to generate the account statement and save it to whatever your default download location is.

Once the account statement is downloaded, you can send this to your tenant by email outside of DoorLoop.

Tip: On the account statement, the "From" field is generated from your default Company Information or from the contact information of the property's tenant portal contact information. This includes the address, email address, and company name.

What does the lease account statement look like?

Account statements will look like the image below. It shows all transactions that have occurred on a lease since the beginning. That includes all payments and charges.

Tip: If you need to download the Lease Account Statements for multiple leases at once or want to download them as an Excel-compatible spreadsheet, you can do so by heading over to Reports > Lease Account Statements Report.

Note: The Lease Account Statement (Lease Ledger) can be found on the tenant portal under the Payments tab. This will list all their charges and payments on their account. They'll also be able to download a copy of their account statement from the Payments tab as well.
