Record a Tenant Payment That Was Made for Multiple Leases

How to record multi-lease payments from a single tenant from a single check received.

Overview

It's not uncommon for tenants to consolidate their payments for multiple leases into a single check. The question is, how would you record this in DoorLoop? We will use the Bulk Receive Payments feature to receive payment on multiple leases at once and then make a single bank deposit for those.

(In this example, our tenant has three leases but gave the property manager one check to cover the rent for those three leases.)

The Steps

Step 1 - Bulk receive payments for a single tenant payment on multiple leases

  1. To enter payments from a single tenant on multiple leases that were paid for on a single check, click + Create New at the top left corner and then click Receive Payment under the Tenant Transactions section.

  2. On the Receive Payment window, click "Switch to Bulk Receive Payments."

  3. On the Bulk Receive Payments window, enter the name of the tenant in the Search Bar. This will bring up results for all the leases that they are on.

  4. Use the checkbox to select all the leases that payments are being made on. This will expand the lease to give you Payment Details fields.

  5. In the Payment Details, enter the following information:

    • Received From - Select the tenant the money was received from

    • Deposit Account - Select which bank account the money will be deposited into

    • Payment Method - Select the payment method that was used

    • Amount Received - Enter the amount received for each lease

  6. Click Save on each of the leases into which payment was entered.

  7. Check that each lease has the correct payment amount, and then click the Review button at the bottom right of the Bulk Receive Payments window.

  8. On the review section, enter the Due Date of the payments and uncheck the box for "Automatically Deposit Funds."

  9. Click Submit if everything looks good.

Step 2 - Record the bank deposit

  1. To record the bank deposit for the tenant's check, click + Create New at the top left corner and click Bank Deposit under the Other Transactions section.

  2. On the Bank Deposit window, select the Deposit Account (Bank Account) that the check is being deposited into. Enter the Transfer Date for when the check was deposited.

  3. Then under the Deposit Details section, select the payments that make up the deposit from the tenant's check. (You can also select other payments if the tenant's check was included with other checks).

  4. Click Save to finish.

That's it. The tenant's leases will show each individual payment and the deposit report will show a single deposit for all those payments.
