Introduction to Default Accounts in DoorLoop

What are default accounts, why can't you edit them, and how to create your own default accounts.

Overview

Default accounts are used in DoorLoop to automate parts of your accounting. This helps you avoid setting these accounts over and over again as you add properties and specific transactions. For example, default accounts in DoorLoop include Accounts Payable, Accounts Receivable, Rental Income, Undeposited Funds, Late Fees, Security Deposits, Operating Account, and Owner Distribution, just to name a few.

Some of these accounts are "system accounts" and cannot be edited because they're vital to DoorLoop's backend. You'll notice that if you're in your Chart of Accounts, account categories such as Rent, Unapplied Lease Payments, Late Fees, and Convenience Fees (just to name a few) cannot be edited because they're system-level default accounts.

If you want to use different account categories for your default accounts instead of the ones provided, you can create those in your Chart of Accounts and use them as your Default Accounts in DoorLoop.

The Steps

Create New Default Accounts in Your Chart of Accounts

  1. To add a new account to your chart of accounts, click Accounting > Chart of Accounts on the main menu.

  2. On the Chart of Accounts page, click the New Account button at the top right corner.

  3. You'll now be on the New Account window. Select the appropriate account type in the Type dropdown menu. Then, enter a name you want to use for the account in the Account Name field and add an optional description for your reference.

  4. The Active Account toggle is on by default. You can toggle on This is a sub-account only if you want to organize this new account under another Parent Account.

  5. If you need to add this chart of account category for use with lease charges, click Lease Options in the left-side menu. Note that this is not available for bank account types. You'll have several options here:

    • If this is a revenue account you need to use for lease charges, or an expense account you need to use for lease credits, toggle on Use this account for Lease Charges.

    • If this is a liability account you need to use for lease deposits, also toggle on Use this account for Lease Deposits.

  6. Click Save to finish creating the account.

Set the default accounts with these new accounts

Once you have the accounts you want to use set up in DoorLoop's Chart of Accounts, set up the default account settings for your company. Follow the steps in Set Up Your Default Accounts.

These accounts will now be your defaults, and DoorLoop will automatically use them for each default account you've set. You can change these again later if needed.
