Communication Center Settings

Learn what each tab in your Communication Center settings controls — from text messaging to message routing, incoming calls, AI replies, and welcome messages.

Overview

The Communication Center settings are where you control how messaging and calling work for your company. From here, you can set up your SMS number, decide who on your team gets notified when a tenant, owner, vendor, prospect, or unknown contact reaches out, choose whether the DoorLoop AI Assistant replies to tenant texts, configure incoming call routing, and customize the welcome message people receive when texting is turned on. These settings are located at Settings on the main menu. Then under the Company section, click Communications Center.

Text Messaging

The Text Messaging tab is where you set up and manage the text messaging side of your Communication Center. This is where you request your SMS phone number, and view the number once it's active. You'll need a Business Verified Account and a valid EIN to get started, and SMS is only available for companies based in the US or Canada. Keep in mind that each DoorLoop account gets one SMS number, chosen based on the area code you select, and that number stays with you for the life of your service. It's also the number used for Announcement texts, and the same number used for inbound and outbound calls. If you choose not to use the texting service anymore, you'd also come to the SMS Settings to turn off service to this feature by toggling off the "Send and receive SMS messages" option.


Welcome Message

The Welcome Message tab is where you customize the welcome SMS sent to tenants, owners, and vendors when SMS is enabled or you get a new number. Placeholders are filled in automatically when the message is sent. There's a 1000 character limit on the message — depending on the length, it could be split into multiple text messages.


AI Auto-Responder

The AI Auto-Responder tab is used to control how the DoorLoop AI Assistant handles tenant conversations via SMS text messages. There are two settings here you can enable or disable:

  • Respond to new conversations: When a tenant sends you a brand-new message, the AI replies first.

  • Respond to ongoing conversations: On the next incoming message for an existing conversation you've never overridden, AI takes over automatically.

Note: The AI Auto-Responder setting only applies if you are subscribed to the DoorLoop AI Assistant add-on package. For more information, see DoorLoop AI Assistant Overview.


Message Routing

The Message Routing tab is where you control notifications and assignment for every type of contact who messages you — Tenants, Owners, Vendors, Prospects, and Unknown Contacts each have their own section here, but all follow the same structure:

  • Notify automatically: Alerts your team whenever this type of contact sends a new message.

  • Assign to specific users: Routes this type of contact's conversations to chosen team members instead of everyone. When turned on, use the Assigned team members dropdown to select who should receive these conversations.

Set these independently for each contact type — for example, you might want every new message auto-assigned to a specific team member for Tenants, while leaving Owners open to your whole team.


Incoming Calls

The Incoming Calls tab is where you set up how your DoorLoop number handles voice calls — your greeting, forwarding numbers, call screening, routing by caller type or property, your availability schedule, voicemail, and call recording. Your Communication Center settings can be updated at any time, so you're free to adjust message routing, incoming calls, AI replies, and your welcome message as your team's needs change.
