Overview

Owners have access to an Owner Portal where they can see an overview of their properties, the financial transactions associated with them, reports, and the ability to send requests to the property manager. All of this without having to rely on User Roles.

Note: The Owner Portal is not available to Starter Plans. Consider upgrading to the Pro or Premium Plans to access this feature.

The Steps

Invite an existing owner to the owner portal

  1. To invite an existing owner to their owner portal, click People on the main menu and then click Owners.

  2. On the Owners page, find the owner you want to invite to the owner portal. Click the 3 dots to the right of that owner and then click Edit.

  3. On the Edit Owner window, under the Contact Details section, enter a Primary Email and/or Mobile Number. One of these needs to be added. Then toggle on the "Invite this owner to the Owner Portal" setting.

(Please note that if you enter an email address, it must be a valid email address. You can not enter a non-existent email address and will encounter a validation error if you try to do so.)

  4. Click Save to finish.

Once this is completed, the Owner will need to check their inbox for the Owner Portal invite and click the link to set up their password for the portal.

Invite a new owner to the owner portal

  1. To invite a new property owner to their owner portal, click People on the main menu and then click Owners.

  2. In the top right corner, click the + New Owner button.

  3. On the New Owner window, enter the owner's information. Enter their First Name, Last Name, and if you choose to do so, you can also enter a Company name for them. You will also need to enter Contact Info under the Portal Login Info section, whether it be an Email address or a Mobile Phone number.

(Please note that if you enter an email address, it must be a valid email address. You can not enter a non-existent email address and will encounter a validation error if you try to do so.)

  4. Since we will also invite the Owner to their Owner Portal, toggle on the setting that reads, "Invite this owner to the Owner Portal."

  5. Click Save to finish.

Once this is completed, the Owner will need to check their inbox for the Owner Portal invite and click the link to set up their password for the portal.

Owner Portal Invitation

For your reference, the email that the Owner will receive will have the subject: Your Owner Portal is Ready. When they open the email, it will look something like this:

They'll need to click the Accept Invitation button. From there they'll need to create a new password. Once done they'll have access to their Owner Portal.

Things to Consider

  • If the owner was previously set up as a User, you might want to consider deactivating their user account. You can do so by following these instructions: Removing an Owner/User From Your Account

  • Owners can have the Owner Portal and also a User account if you allow for it. If they use the same email address to log in, they'll be able to choose if they want to log into the Owner Portal or to the User account.

  • Owners will only see the information of the property that they are attached to. If they own more than one property, be sure to add them as an owner of the property.
