Why aren't my listings showing on any online listing websites?

Overview

Most rental listings are very particular with the type of info that is required before listings can be populated on their listing site. If any of the info is missing, your property/unit will not show up. Below are some common areas you can check for if your listings are not appearing on our partner sites - Zillow, Apartments.com, RentalSource, Dwellsy, and Zumper.

Note: Creating Online Listings is not available to Starter Plans. Consider upgrading to the Pro or Premium Plans to access this feature.

Troubleshooting Checklist

  • Did you set up an account with the listing website?

  • Verify the Unit is indicated as “Listed” in DoorLoop.

  • Google the Property Address and verify it (No NE instead of North East, etc.)

  • Property/Unit relationship needs to be set up correctly (A single unit in a multi-unit building cannot be advertised as an entirely separate property, for instance.

  • Quality photos under the Property.

  • Quality photos under the Unit.

  • Description that contain contact info or self-promotions are prohibited (i.e. “Reach out to *** realtor company for more awesome deals like this!”)

  • The number of Bed/Baths needs to be set.

  • You cannot list your unit for sale and rent at the same time through DoorLoop. Remove the for sale listing.

  • The unit you are listing from DoorLoop cannot also be coming from another listing feed or another Rental Manager account. Remove your listing from other sources.

Read on below for more detailed troubleshooting.

Zillow specific checklist:

  • Is your listing part of a rental community of 25+ units that you are not the property manager of? (If this is the case, you need to reach out to Zillow directly at Zillowrentals@zillowgroup.com and let them know of your situation.)

  • Finally, “Claim Ownership” of the listing and "Verify Your Ownership." Instructions are provided here, (you need a Zillow account to claim ownership.)

Apartments.com specific checklist:

  • For properties with 5+ units, direct communications with Apartments.com is required, and advertising may incur a fee. For more information about this, click here.

  • Contact the Apartments.com team at (877) 531-3821 or advertise@apartments.com and they will help you get set up.

  • Unit names must not contain marketing terms.

  • Property descriptions should not include any hyperlinks.

  • Roommate listings are not allowed. Must list the entire unit rather than by the bedroom.

  • Images cannot contain pictures of pets or people.

  • Images cannot contain watermarks unless they are associated with your business.

  • Cannot have duplicate listings.

  • Make sure the address of your rental is correct.

  • Properties must be in a fixed location. Must be grounded, free-standing structures.

  • Make sure that the property is not off-market.

  • Listing needs a valid phone number and email contact.

Did you set up a Zillow account and link it with DoorLoop?

For Zillow listings, you will need to reach out to Zillow by sending an email to rentalfeedinquiries@zillowgroup.com and setting up an account (paid) with them before your Listings in DoorLoop will post to Zillow. Please note your DoorLoop Company ID which will be used to link your Zillow Account with DoorLoop.


Claim your listings on Zillow

Some listing issues require that the listing be claimed by your account. You would do so by going to the listing on Zillow, clicking on the More link at the top right corner, and selecting Claim Ownership.

Note that you need to have a Zillow account created to claim ownership of a listing.


For Zillow only, if a property being listed belongs to a rental community of more than 25 units

If your listing is in a community of 25+ units it may require a multifamily advertising agreement from Zillow. This lets the apartment community's management company manage the inventory and marketing of the entire community. Individual listings can not be posted directly. If this is the case, you need to reach out to Zillow directly at Zillowrentals@zillowgroup.com and let them know of your situation.


For Zillow, remove your listing that is already posted for sale

Zillow does not support listings that are for sale and for rent simultaneously. Only one version of the listing will be published. If the listing is already listed for sale, the for sale listing must be completely removed in order for your rental to post. To remove the for sale listing, contact the listing owner to remove the listing at the source. You can find the listing owner's information under the Overview section of the active sale listing on Zillow. Once it has been removed from the source, it will be removed from Zillow Group sites within 24 hours. Once you have confirmed the listing is off-market/no longer for sale, you can publish your rental listing.


For Zillow, remove your listing from another rental source

Zillow will only ever publish a single version of a listing at any given time. If the listing is already coming from a listing feed, or another account in Rental Manager, it is very likely for your listing to be declined. Example, remove your listing from the MLS.


Is all relevant information filled in for your properties and units?

All relevant information about your Property and Units needs to be present or else they will not be listed. You will need to properly fill out both the Description and Amenities sections on the property/unit as well as add photos for listing requirements (also both properties and units).

Check for missing information or incorrect information on the property and unit

A Zillow listing will also fail to post if other information is not included or if the wrong or incorrect information is included. Here are some common issues to be on the lookout for:

  • Emails, phone numbers, or other self-promotional advertising cannot be included in any descriptions, Zillow provides links for applicants to use to contact you.

  • The number of Bed/Baths needs to be set

  • Pictures cannot be misleading

  • Unit Description is not present

  • Listings option isn't turned on

You can also check to see if the proper information is present by viewing the Overview page of the Property and Unit. In the example below, you can see that information such as bed/bath count isn't included, along with not having a Unit Description, the property description has an email address which isn't allowed, and other is a misleading photo included.

A correct Overview should look something like this:


Check your property type settings

The property type must be correctly chosen based on the actual property; otherwise, the listing may be blocked. Below is how you should choose the residential property type for your rental:

Single-Family Home:

  • Standalone residential structure

  • Intended for one family

Multi-Family Home:

  • Residential building with multiple units

  • This is used when you own every unit in a multi unit building (with the exception of duplexes and triplexes)

  • If your Mutlti-Family Home has more than 25 units, there will be fees for the landlord (this is when they’ll have to use they’re company ID

Condo:

  • Use this when you own a unit in a building, but not the entire building

  • Shared common areas with other units

  • Duplexes, triplexes also fall under this category

  • Listings will be blocked if you do not own the entire building

Townhome:

  • Multi-floor home sharing one or more walls with adjacent properties

  • Has its own entrance

Other:

  • Properties not fitting the categories


Delist and re-list your unit to refresh your active listing

In cases where your Property and Unit updates don't seem to be updating on Zillow's side, it is recommended that delist the unit and then re-list it after a few minutes. This apparently will hard reset your listing and upload a brand new feed to Zillow. The corrections should be refreshed after and your listing will be posted.


For Zillow, how to list studio apartments

If you are listing a Studio apartment, set the Beds field to 0 in the General Information section of the Unit. Click Save. This will list the unit on Zillow as a Studio now.
