Edit a Recurring Rent Charge on a Lease

Recurring rent charges post every month. Here's how to change when they post or the amount of the rent

Overview

When you create a lease, a recurring rent charge/schedule will automatically be created. This is the amount of rent that will be posted each month on a specific date. Normally this is posted on the first of each month, but you can change this to any date and any frequency. Here's how you would change that.

The Steps

Edit the recurring rent charge on a single lease

  1. To edit a recurring rent charge, click Leasing on the main menu and then click Active Leases.

  2. Find the lease you want to edit terms for and click on it.

  3. Click the Rent tab and then click on the Recurring Rent Charge that needs to be edited.

  4. The Recurring Rent window will now be shown. Here you'll be able to update the following:

    • Start Date: This will change the date when the rent will post

    • Frequency: This will change how often it posts

    • Amount: This will change the amount that is posted

  5. Click Save to finish.

Tip: DO NOT edit the Start Date with a date in the past. Only edit the start date for a future date. Entering a past date may cause charges to be posted again for previous dates which will then later need to be deleted.

That's it. After you save, the updated Recurring Rent will be adjusted. Depending on what you have changed, the changes will take effect on the Next Charge date shown.


Edit the recurring rent charge on multiple leases

The method above is for editing the rent charge/schedule for one lease at a time. This is not optimal if you need to edit numerous leases at once. For this method, we'll be using the Recurring Rent Transactions report to edit multiple leases from one screen.

  1. To edit multiple recurring rent charges quickly, click Reports on the main menu and then click Recurring Rent Transactions report under the Who Owes You section.

  2. On the report, to view a more organized version of it, click the Group by filter and click Lease. This will organize the report by lease and show you all the recurring charges on those leases.

  3. Your Recurring Rent Transactions report will now look something like the one below. Each of those recurring rent charges is now grouped by lease so you can see what is being charged per lease.

  4. To edit them, just click on each of those recurring rent charges that need to be edited. A window will pop up for the recurring rent charge. Here, you'll be able to update the following:

    • Start Date: This will change the date when the rent will post

    • Frequency: This will change how often it posts

    • Amount: This will change the amount that is posted

  5. Click Save to continue.

  6. You'll now be back on the Recurring Rent Transactions report. Repeat the above step for each recurring rent charge you need to edit.

Tip: As mentioned above, Start Date with a date in the past. Only edit the start date for a future date. Entering a past date may cause charges to be posted again for previous dates which will then later need to be deleted.
