Overview
If you're looking through a lease and you notice that some transactions might have been entered incorrectly, you can edit them to correct the amounts. Usually, it's either a charge or a payment that was entered incorrectly. Don't worry because it isn't difficult to correct these transactions.
The Steps
Edit a Lease Charge
To edit an incorrect lease charge, click Leasing and then click Active Leases.
Find the lease you want to edit a lease charge for and click on it.
Click on the Transactions tab. Find and click the Charge you want to edit.
On the Post Charge window, change the necessary fields, such as the Category, Due Date, and Amount.
Click Save to finish.
Doing this will change the account balance on the lease if you change the amount of the posted charge. Depending on the amount it was changed too, there could either be a balance due now or a credit on the lease.
Edit a Lease Payment
To edit an incorrect lease payment, click Leasing on the main menu and then click Active Leases.
Find the lease you want to edit a transaction for and click on it.
Click on the Transactions tab. Find and click on the Payment you want to edit.
This will bring up the Receive Payment window. This is where you will make your edits.
Change the necessary fields. If the payment was already deposited, you'll only be able to edit the receive date and which charges the payment is being allocated to. You will need to delete the bank deposit if you want to edit the payment amount or delete the payment.
If you need to delete a payment, use the red trash can icon at the top right corner.
Add any relevant files and click Save.
Note: If the transaction is a payment that has already been deposited, and you need to edit the amount or delete the payment, click on the View Deposit button, and delete the deposit if you want to change the lease payment. (You can not delete or edit an ePay).
Read the next section for more information on how to do this.
Delete the Bank Account Deposit
This step is necessary if the payment you are trying to edit or delete is already deposited into your bank account.
If you are already on the Receive Payment page from the above section and need to edit the payment amount or delete the payment, first click the View Deposit button.
If the Deposit for the payment is part of a group or payments bundled in one deposit, just Uncheck the box next to that Payment and click Save.
If the Deposit for the payment only includes one payment, click the Trash Can icon at the bottom left corner to delete the bank deposit. You'll know if this worked because the Payment on the lease transactions will now show Undeposited next to the payment.
You can now adjust the amount or delete the payment.
Deposit the Edited Payment
To redeposit the payment now that it has been edited, first click the + Create New button at the top left corner of the main menu.
Click Bank Deposits under the Other Transactions section.
On the Bank Deposit window, select the Deposit Account you wish to record the deposit for.
In the Undeposited Funds for *Bank Account name* section, select the payments included in this bank deposit. This moves these funds from an undeposited to a deposited status.
Enter the date you deposited the payment or payments in your bank account in the Transfer Date box.
Note that you should deposit these funds based on when they were actually deposited. This will help later when you are reconciling your accounts and make it easier to match transactions.
Add any relevant files and click Save.
The payment will now be deposited back into your bank account.
