Profit and Loss (P&L) Report

Run the Profit and Loss Summary or Detail report in DoorLoop to see income, expenses, and net profit or loss for a property or portfolio.

Overview

A P&L statement report is a document that summarizes the income (revenue) and expenses of your company. It shows the profits or losses of a company for a specific period, usually a month, quarter, or year. It shows how a company generates and spends its money, and how much profit or loss it makes. A P&L statement report is also known as an income statement, a statement of operations, or a statement of financial results.

A P&L statement in DoorLoop typically includes:

  • Revenue/Income — The total amount of money a company earns from its sales and other sources of income, such as interest, fees, or commissions.

  • Expenses — The costs a company incurs to run its business, such as marketing, advertising, salaries, rent, utilities, and taxes.

  • Net Operating Income — The difference between total income and operating expenses. It shows how much money a company makes from its operations before accounting for other income and expenses.

  • Net Income — The bottom-line profit or loss after all income and expenses are accounted for. Also known as net profit or earnings.

DoorLoop offers two separate P&L reports, found under Reports:

  • Profit & Loss Summary — shows the total for each income and expense account, rolled up into Total income, Total operating expenses, Net operating income, Net other income, and Net income.

  • Profit & Loss Detail — shows every individual transaction that makes up each account's total (the date, transaction type, name, property, memo, and amount).

The Steps

Profit & Loss Summary

  1. To run the Profit & Loss Summary, click Reports on the main menu. Search and click on the Profit & Loss Summary report.

  2. Use the filter bar to narrow down the report

    • Date range (defaults to Year to date) — Click to change the period.

    • Portfolio, Property, Unit, Owner, Vendor — Filter down to specific records.

    • Show rows — Choose Non-Zero or All rows

    • Group By — Group the report by Vendor, Property, Unit, Tenant, Lease, Day, Week, Month, Quarter, or Year.

    • Accrual/Cash — Toggle the accounting method in the top right.

    • Compare — Compare this period against another.

  3. Below the filter bar, an Insights section shows your Net Income for the selected period and filters.

The Summary report shows each income and expense account's total, along with your total income, total operating expenses, and net income.

Note: The Profit & Loss widget on the dashboard cannot be viewed in accrual — it only shows values based on cash accounting.

Profit & Loss Detail

  1. To run the Profit & Loss Detail report, click Reports on the main menu,. Search and click on the Profit & Loss Detail report.

  2. Use the same filter bar as the Summary report (Date range, Portfolio, Property, Unit, Owner, Vendor, Accrual/Cash) to narrow down the report.

  3. Use Expand all or Collapse all to show or hide the individual transactions under each account.

The Detail report lists every individual transaction under each income and expense account, letting you see exactly what makes up a total shown on the Summary report.

Tip: If you want to filter for multiple properties at once, it's recommended to group those properties into a portfolio, and then filter the report by portfolio. See Create a Portfolio if you need help setting one up.

Tip: You can use the Profit & Loss Summary report to generate a T12 report (trailing 12-month report). Set the date range to the period you want to run the T12 report for, then set Group By to Month.

Tip: Use the Profit & Loss Summary report to view income grouped by unit and filtered by month.
