The Steps

Below is a brief description of how the AI Inspections work.

Step 1 - Set Up an Inspection

Setting up an inspection involves a two-step process: first, selecting a specific lease and scheduling the date and assigned inspector. The second step focuses on creating a customized inspection layout, which serves as a detailed checklist for the unit's rooms and features. Users can generate these layouts instantly using AI, upload existing PDF checklists for conversion, or build them from scratch. This flexible system allows for easy modification of room details, such as adding features or duplicating identical rooms, to ensure every unit is thoroughly documented.

Step 2 - Start the Inspection

DoorLoop’s mobile-first inspection tool provides a streamlined workflow for property managers to document a unit’s condition with speed and precision. The feature allows users to navigate through rooms on a mobile device, assessing specific features by recording conditions, taking photos, assigning responsibility for damages, and adding notes. With real-time auto-save and guided navigation, the tool ensures that every detail is captured consistently, reducing the manual effort typically required for on-site documentation.

The process is designed for thoroughness, prompting users to complete all features within a room before moving to the next. Upon finishing, the system provides an inspection overview that summarizes the number of areas and features inspected, issues found, and photos taken. If any areas are missed, the system alerts the user, offering the choice to return to those features or finalize the report. Once complete, property managers can export the findings into a professional PDF report or immediately begin inspecting another unit.

Step 3 - Review a Completed Inspection

DoorLoop’s inspection review feature provides a centralized hub for property managers to evaluate completed walkthroughs and transition findings into actionable maintenance tasks. Once an inspection is finished, users can access a comprehensive summary page that displays key metrics, such as the number of features inspected, issues identified, and photos captured during the process.

From the review page, administrators have several next steps available to manage the property's condition effectively. You can download a detailed PDF report for record-keeping or share it with stakeholders, and view all uploaded files and photos in one place. A key functionality is the integration with work orders; users can choose to create a single work order for the entire unit or navigate to the "Features" tab to generate individual work orders for specific rooms or items that require attention. Additionally, a dedicated "Tasks & Work Orders" tab allows you to track all maintenance activities directly linked to that specific inspection, ensuring nothing is overlooked.
