Send a Rental Application Link Directly to a Prospect

How to have your prospects submit rental applications.

Overview

You’ve configured and turned on your rental application for a property, reviewed your application, and now you’re ready to send it out to your prospects. Let’s go over how you find and send the rental application link to your prospects!

Important: This link is specific to the prospect. Do not use this link for multiple applicants as doing so will overwrite the existing application each time someone new uses it.

The Steps

Step 1 - Add a Prospect

  1. To create a new prospect, click People on the main menu and then click Prospects.

  2. On the top right of the Prospect page, click the + New Prospect button.

  3. For the Personal Info section, enter as much information for the prospect as you’d like, but a First Name and Last Name combination or a Company name is required.

  4. For the Contact Info section, you must enter a Phone number and/or Email address to continue. (It is recommended to enter an email address.)

  5. From here, you can click Save after entering the minimal amount of info or continue to enter more.

Step 2 - Send the Rental Application Directly to the Prospect

The below instructions assume you have the Prospect already entered in DoorLoop with their contact information entered (email and/or mobile phone number). If you haven't entered them into DoorLoop, you can use these instructions.

  1. To send a rental application directly to a prospect, click People on the main menu and then click Prospects.

  2. Find the Prospect you want to send an application to. If they already have contact information filled in, you can use the Rental Application link shown below.

  3. This will take you to the Rental Applications tab on the prospect's profile. Click the + New Application at the top right corner or click the "Invite Tenants and Prospects to Apply" button.

  4. On the Rental Application window, you'll want to choose a Property that the application will be associated with. You can also optionally select a Unit.

  5. You don't need to specify fees for this application if it is going to use the default fee structure of the property. You'll only need to change this if you want to specify different fees or want to send the application to the prospect for free.

  6. Click Save to continue.

  7. You'll be taken to the Rental Application tab on the Prospect's profile page. Use the Send Application button to send the application to the Prospect directly. (This will only be sent if you have added contact information for the Prospect and will be sent by Email or SMS).

    (If you did not enter an email or mobile phone number, using the send application button will create an error. Click the View link and you'll be able to enter their contact information. once you do that, you can use the Send application link again.)

That’s all! If you’ve set up DoorLoop to send notifications when prospects submit rental applications, you’ll get an email when an application is ready for you to review.

Tip: If you are sending a rental application to a prospect that has already paid you outside of DoorLoop, use the "Application-Only Plan" to send a free application. If you need to run a screening report after, you can.


Alternate method of sending a rental application directly to a prospect

  1. An alternate way of sending a rental application to a prospect is to click the + Create New button at the top left corner of DoorLoop.

  2. Click on Rental Applications under the Leasing section.

  3. From the Select Prospect window, you can either click on the + New Prospect button at the top right corner or use the search bar to find a currently entered Prospect.

  4. Once you have a prospect chosen or created, you'll now be on the Rental Application window. You'll want to choose a Property that the application will be associated with. You can also optionally select a Unit.

  5. You don't need to specify fees for this application if it is going to use the default fee structure of the property. You'll only need to change this if you want to specify different fees.

  6. Click Save to continue.

  7. You'll be taken to the Rental Application tab on the Prospect's profile page. Use the Send Application button to send the application to the Prospect directly. (This will only be sent if you have added contact information for the Prospect).

    If you did not enter an email or mobile phone number, using the send application button will create an error. Click the View link and you'll be able to enter their contact information. Once you do that, you can use the Send application link again.

That’s all! If you’ve set up DoorLoop to send notifications when prospects submit rental applications, you’ll get an email when an application is ready for you to review.
