Overview
You’ve configured and turned on your rental application for a property, reviewed your application, and now you’re ready to send it out to your prospects. Let’s go over how you find and send the rental application link to your prospects.
Important: This link is specific to the prospect. Do not use this link for multiple applicants as doing so will overwrite the existing application each time someone new uses it. Each new applicant needs to have their own link sent to them unless it's the generic company, property, or unit link.
The Steps
Step 1 - Have a Prospect Ready
You'll need a Prospect already entered in DoorLoop with their contact information (email and/or mobile phone number). If you haven't added them yet, see Add a Prospect.
Step 2 - Send the Rental Application Directly to the Prospect
Click Create New at the top of the main menu. Then under the Leasing section, click Rental Application.
On the Rental Application window, select the prospect you want to send the application to. Then choose a Property that the application will be associated with. You can also optionally select a Unit.
(Optional) You don't need to specify fees for this application if it is going to use the default fee structure of the property. You'll only need to change this if you want to specify different fees.
Click Send to continue.
If you've set up DoorLoop to send notifications when prospects submit rental applications, you'll get an email when an application is ready for you to review.
Step 3 - Charge This Prospect a Different Fee (Optional)
You might need to charge a specific prospect a different application fee than usual — for example, making an exception for someone to pay less than you normally charge.
On the Rental Application window, before saving, toggle on Specify fees for this application.
Choose which payment option to use — Comprehensive, Customizable, or Basic Plan. See Company Default Rental Application Settings for a full breakdown of each plan.
Click Save, then continue with Step 2 above to send the application.
Tip: If you are sending a rental application to a prospect that has already paid you outside of DoorLoop, use the "Basic Plan" to send a free application. If you need to run a screening report after, you can.
Tip: If application fees are part of your management fees and aren't distributed to the owner, add Application Fees to your Management Fees Payout Categories.
