Overview
Depending on your rental application workflow, you might need to charge prospects different application fees even if they are applying for the same property. For example, you might make an exception for someone to pay less than you normally charge.
Let’s go through how to do that now!
The Steps
To charge a custom rental application fee for a specific prospect, click the + Create New button at the top left corner. Then click Rental Applications under the Leasing section.
On the Rental Application window, select a current prospect or use the Add New button to add a new prospect.
Enter the new prospect's First Name and Last Name along with their Email address.
Click Save to continue.
Select the Property and Unit the rental application is for using the drop-down menus.
(Optionally, choose which user or users you want to manage this application in the Assigned To drop-down menu. You can also set the Expected Move-in date if you want to, but the prospect will also enter this when they apply.)
Next, toggle on Specify fees for this application to set a custom amount for the chosen prospect.
You'll now need to choose which payment option you want to use for the prospect. You have three choices:
All-in-One Solutions: Use this option if you don't have a Merchant account set up, but still want to run a background check for applications. There will be a $49.90 fee charged to the applicant.
Custom Fee Plan: This option lets you enter a custom amount to charge the applicant for the application fee. You must have a merchant account set up to use this option and using this option will always deduct $3.50 for the credit card processing fee.
By default, this option will request screening reports that the applicant will pay for. If you don't want to run tenant screenings, click the box and uncheck "Include screening costs in the fee by default." If you decide later you want to run a tenant screening and request reports, you'll need to pay for it.
Application-Only Plan: This option will not charge the tenant for the rental application and will not request reports automatically. If you decide to request reports after, you have the option to request payment from the prospect to run the background screening report or pay for it yourself.
You will also need to click the box labeled "I accept the DoorLoop and TransUnion Terms and Conditions." to use Rental Applications.
When you are finished, click Save.
You'll be taken to the Rental Application tab on the Prospect's profile page. Use the Send Application button to send the application to the Prospect directly. (This will only be sent if you have added contact information for the Prospect and will be sent by Email or SMS).
If you did not enter an email or mobile phone number, using the send application button will create an error. Click the View link and you'll be able to enter their contact information. once you do that, you can use the Send application link again.
Important: This link is specific to the prospect. Do not use this link for multiple applicants as doing so will overwrite the existing application each time someone new uses it.
That’s all! If you’ve set up DoorLoop to send notifications when prospects submit rental applications, you’ll get an email when this application is ready for you to review.
Tip: if application fees are part of your management fees and aren't distributed to the owner, you must add Application Fees to your Management Fees Payout Categories. This will add it to your management fees and not on the owner distributions.
