Overview

Whether you manually create a Prospect or DoorLoop creates one for you when a tenant submits a rental application, you can review and change that prospect's information at any time.

The Steps

View the List of Prospects

To view a list of your prospects, click People > Prospects on the main menu. DoorLoop's Prospects page shows you a list of all your prospects with the following information for each:

  • Prospect - Name, company name, or email address. Also their Status.

  • Move-in Date - You can enter a move-in date, or the prospect can when they submit a rental application.

  • Email & Phone - phone numbers and email address for your prospects

  • Assigned - See which of your users is currently tasked with managing this prospect.

  • Next Steps - Event based. Will show you the next steps to take with your prospect.

Note: You can enter a prospect's email or phone directly from this view. Emails and phone numbers must be valid.

Tip: How to Edit a Prospect's Information

DoorLoop allows you to edit each prospect by clicking the 3-dots on the right side of each prospect line and choosing Edit. (Or click on a prospect to review more information first, then click the blue 3-dots icon in the upper right corner and choose Edit.)

For more on what type of information can be included on a Prospect's profile, see Add a Prospect.

How to View a Prospect's Information

Clicking on any prospect on the Prospect page will take you to the prospect's overview page. Here, you can see key information about the prospect, such as their contact information, current address, showings scheduled, and any custom field information you might have set.

You will also be able to use quick action buttons for applications, showing invitation, and creating a new lease if you need to turn this prospect into a tenant.

The Rental Applications, Tasks, Notes, and Files tabs do the following:

  • Rental Applications - Review the rental application the prospect filled out, if they've done so. You can also send a rental application specifically for this prospect if you want to charge them a different fee than usual.

  • Communications - Give you a Communications Center view of any conversations you may have had with them, such as through SMS.

  • Tasks - View, edit, and create tasks specifically related to this prospect.

  • Notes - Add additional information to refer to later. You can also edit or delete notes later if needed.

  • Files - Add and view attachments related to this prospect. These files stay with this person if they sign a lease and become a tenant.

Screening Reports

If you have not screened your prospect yet, you are also given the option to send them a rental application to complete the tenant screening process. With this, you'll get a credit report, eviction and bankruptcy history, and a criminal background check.

Showings

From a prospect's Overview page, you can also manage showings for that prospect:

  • View Scheduled Showings - See any showings the prospect has already scheduled.

  • Send a Showing Invite - Send the prospect an invite so they can schedule a showing themselves.

  • Manually Schedule a Showing - Schedule a showing on the prospect's behalf.

Once updated, changes to a prospect's information, tasks, notes, and files are saved immediately and reflected everywhere that prospect appears in DoorLoop.

Note: Use the Communications Center if you need to communicate with prospects in real time using the SMS feature. For more information on this, read: Set Up SMS Messaging for the Communications Center.
