Introduction to Property Owners

Learn what property owners are in DoorLoop, how to manage distributions and contributions, and how owners view their financials.

Overview

In DoorLoop, property owners are the people (or companies) who own the properties and units you manage on their behalf. Tracking property owners lets you keep an accurate record of who you distribute rental profit to, and who contributes funds to the property to cover expenses when needed.

If you own the property you manage yourself, you're the property owner. Otherwise, you're typically a vendor collecting management fees before distributing rental profit to the owner. See Add a Property Owner to get started.

Note: If an owner has multiple properties under separate business entities (LLCs), you can create a separate owner profile for each entity — and as of a recent update, these profiles can now share the same email address and phone number, letting the owner log in once and switch between entities from their Owner Portal. What You Can Do With Property Owners

Once an owner is set up in DoorLoop, there are a few key things you'll manage on their behalf:

  • Owner Distributions: Pay out rental profit to the property owner. Even if you're the owner and you take money out of the property's bank account yourself, you still need to record it as a Distribution so it's reflected accurately on the property's balance sheet.   • Owner Contributions: Record funds an owner puts into the property — for example, covering a major repair that rent revenue can't cover, or paying for utilities directly. These costs are still recorded as expenses or bills, with the Contribution showing where the funds came from. See Record an Owner Contribution.

  • Add or Remove Owners From a Property: Associate an owner with one or more properties, or disconnect them if ownership changes. See Adding an Owner to a Property.

What Property Owners Can Do (Owner Portal)

Owners can be given their own login to the Owner Portal, separate from your DoorLoop account and without needing a User Role. From there, an owner can:

  • View an overview of their properties, including profit and loss, recent payments received, vacancies, and leases with outstanding balances

  • View a history of their Owner Distributions and Contributions

  • Submit their own Owner Contributions directly from the portal, without needing you to record it on their behalf

  • View detailed financial reports for their properties, including the ability to export to Excel or PDF

  • Submit requests directly to you, and track the status of those requests

  • View files and documents you've shared with them

This gives owners real-time visibility into their property's day-to-day financials, without you needing to send reports manually each month.


Once an owner is set up, you can track distributions and contributions on their behalf, and give them their own portal access to see their property's financials and submit requests or contributions directly — without needing to send reports manually or set them up as a User.
