Record a Bank Deposit

Manually record a bank deposit in DoorLoop for miscellaneous property revenue, vendor refunds, or reimbursed expenses.

Overview

A bank deposit is a transaction in DoorLoop recording that money was deposited into one of your bank accounts. You'll manually record a bank deposit any time you receive money that isn't already sitting in undeposited funds waiting to be deposited. This includes things like:

Note: If you received a payment from a tenant, always use the Receive Payment feature first, and record the bank deposit from there. See Receive a Payment on a Lease. If that payment is already sitting in undeposited funds and you need to deposit it, see Remove Undeposited Funds and Deposit Them Into Your Account.

The Steps

  1. To manually record a bank deposit, click Create New at the top of the main menu. Then under the Transactions section, click Bank Deposit.

  2. On the Bank Deposit window, under the Deposit Account field, select the bank account you wish to deposit the payment into. Enter the Transfer Date that the deposit occurred.

  3. In the Other Deposit Items section, complete the following:

    • Property — Pick the property associated with this deposit. This deposit reflects on the accounting reports for this property.

    • Unit — Pick the unit associated with this deposit.

    • Category — Choose the correct general ledger account for the deposit. For example, you could create a revenue account in your chart of accounts for vending machine revenue, or use the original expense account if you're recording a refund.

    • Description — (Optional) Enter an explanation for the deposit. What you enter here also appears in the "Memo" column on accounting reports.

    • Amount — Enter the amount of the payment.

    • Payment Method — (Optional) Pick among several options for informational purposes.

    • Reference — (Optional) Add your own internal reference number.

    • Received From — (Optional) Record who paid you this deposit by choosing from Vendor, Owner, or Tenant, then picking from your list of each.

    • Add Memo — (Optional) Add additional information for your reference when reviewing the deposit later.

  4. Click Add Line Item if you need to add additional items to the deposit and repeat the steps above.

  5. If you need to print a deposit slip, select Print Deposit Slip in the bottom left corner. This saves the deposit slip to your default download location.

  6. Add any relevant files and click Save.

The deposit is now recorded and reflected in the appropriate bank account and accounting reports.

Note: If you're entering a bank deposit and the payment method is a check, you won't be able to enter the check number here. Instead, add it to the Reference field.
