The Steps
Deposit a Tenant Lease Payment Sitting in Undeposited Funds
For example, you charge your tenant for rent, and they give you a check. You record this payment on the tenant's lease, but this money shouldn't reflect in your bank account until you deposit the check.
If you have a payment appearing as undeposited, record it as deposited by clicking Accounting > Transactions on the main menu.
Bank accounts with undeposited funds show in the Undeposited Funds column. Click the Undeposited Funds amount for the bank with an undeposited funds balance. A small popup appears stating how much is in undeposited funds from manual entries — click the Amount on the Manual Entries line.
This brings up the Edit Bank Deposits window, with the Deposit Account already selected. Enter the Transfer Date that the deposit occurred. Under the Deposit Details for the bank section, use the checkbox next to each undeposited payments to select the ones you want to deposit. Only select the payments that were deposited on the the date of the Transfer Date.
If you need to print a deposit slip, select Print Deposit Slip at the bottom corner. This will save the deposit slip to your default download location.
Add any relevant files and click Save.
Repeat the steps above to deposit more payments based on the Bank Account and Transfer Date.
The undeposited funds are now moved into your DoorLoop account balance.
Tip: When manually depositing undeposited funds, deposit them correctly based on the dates they were actually deposited. This helps later with reconciliation. Do not deposit everything in one large deposit, as this complicates transaction matching and reconciliation later.
Note: If you don't see any transactions under the Manual Entries for undeposited funds, but the bank is showing undeposited funds, then these are more than likely ePay transactions still being processed and not yet deposited. You can view the statuses of these payments and deposits under Accounting > Received Payments. See Check the Status of Online Payments With the Received Payments Page for more information.
Tip: You can also automatically create a bank deposit at the same time you manually record a lease payment — for example, if you already deposited the money or received it electronically outside of DoorLoop, through Zelle.
Note: Undeposited Funds can impact the amount available for owner distributions. See Introduction to Undeposited Funds for both ways to check your undeposited funds. Depositing these funds, once cleared, moves them out of undeposited status, making them count toward the cash balance and available funds.
