Send an Announcement to Your Tenants

Communicate with your tenants with Announcements and send messages via email, text, voice message, and through the tenant portal.

Overview

DoorLoop's Announcements feature allows you to send messages to your tenants via email, text, voice message, and posts to their tenant portal. This can be sent to all tenants, some tenants, or specific tenants based on the options you select. The Communications Log allows you to check the status of these communications.

Note: Announcements are not available to Starter Plans. Consider upgrading to the Pro or Premium Plans to access this feature.

You can not send announcements to Owners, only Tenants.



The Steps

Step 1 - Begin the Announcements Wizard

  1. To send an announcement to your tenants, click Communications on the main menu and then click Announcements.

  2. On the Announcements page, click the + New Announcement button at the top right corner. You'll now be on the New Announcement wizard.

Step 2 - Select Which Properties, Units, and Tenants to Send the Announcement

You can choose which tenants receive this announcement by following the prompts to select specific Properties, Units, and Tenants. Choose All Properties to send to everyone, All Units to send to everyone on specific properties, and All Tenants to everyone on specific units.

Step 3 - Set the Delivery Method

Select how you would like to send your announcement.

  • Send now by email: (free) This announcement will be sent right away to the contacts based on your selection, as long as they have their email on record. Delivery and open rates will be monitored for your convenience.

  • Send now by text message: (1 announcement credit per text message and 140 character limit) This announcement will be sent immediately to all tenants with a mobile phone number on file and will use 1 announcement credit per text message sent.

  • Send now by voice message: (1 announcement credit per voice message and 300 character limit) This announcement will be sent immediately as a voice message using text to speech to all tenants with a phone number on file and will use 1 communication credit per voice message sent.

  • Show this announcement in the tenant portal: (free) This announcement will be posted in the announcement section of the tenant portal.

    • Choose "Also post this announcement on the home screen of the tenant portal" to make sure they see it as soon as they log in.

    • Choose "This announcement should automatically expire" to remove the announcement from the tenant's portal on the set date.

Click Next to continue.

Step 4 - Create the Announcement Content

Type in the message you would like to send.

  • Remember that Text Messages are limited to 140 characters, and Voice Messages are limited to 300 characters.

  • If you are posting an announcement to the Tenant Portal or as an Email, you will be able to attach files. From their portal, tenants can download these files, as well as preview certain file types, such as PDF's and JPEG's.

Step 5 - Review & Confirm Your Announcement

Review the announcement delivery methods and how many credits will be used. Clicking Finish will send the announcement and Done after the notification that the Announcement has been sent.

Your tenants will not see any information for the other tenants you are messaging as part of this mass communication.

Note: If you see an error message stating that there is nothing to send, most likely this means that one of the steps above has an error in it, whether you're sending it to a Unit that doesn't have a Lease attached, no active portal, or a formatting error in the message.


Review the Status of Your Announcements

Review the status of your announcements by navigating to Communications > Communications Log.

The Status icons show the tenant's interaction with the announcement. Hovering over the icons will give you more information, such as the time and date the tenant read an email or clicked a link in the email.
