Create a New Announcement

Communicate with your tenants with Announcements and send messages via email, text, voice message, and through the tenant portal.

Overview

DoorLoop's Announcements feature allows you to send messages to your tenants via email, text, voice message, and posts to their tenant portal. This can be sent to all tenants, some tenants, or specific tenants based on the options you select. The Communications Log allows you to check the status of these communications.

Note: Announcements are not available to Starter Plans. Consider upgrading to the Pro or Premium Plans to access this feature.

You can not send announcements to Owners, only Tenants.



The Steps

  1. To send an announcement to your tenants, click Communications > Announcements on the main menu.

  2. On the Communications page, click Create New. On the popup menu, click New Announcement to create a new Announcement.

  3. On the composer window on the right side, you will need to enter the following:

    • Send to - Who do you want to message?

      • Target the right tenants-whether it's everyone across a full portfolio, an entire property, specific units, or individual residents.

    • Send via - Select how you want to send the announcement

      • Email

      • Text Message - (limited to 800 characters)

      • Voice Message - (limited to 300 characters)

      • Tenant Portal - Choose whether there is a portal expiration date or not

    • Subject - Enter the subject of your announcement

    • Message - Enter the message you would like to send

      • Remember that Text Messages are limited to 800 characters, and Voice Messages are limited to 300 characters.

      • If you are posting an announcement to the Tenant Portal or as an Email, you will be able to attach files. From their portal, tenants can download these files, as well as preview certain file types, such as PDF's and JPEG's.

  4. Click Send to finish.

Once you have completed creating your announcement and send it, you'll be able to see it under the My Messages column on the Communications page. If you click on the message, you'll be able to see the entire message along with how it was sent - email, text, or portal. You can also click the link to the Communications Log to view each individual person it was sent to.

That's it. You've created a new Announcement from the Communications Center.


Review the Status of Your Announcements

Review the status of your announcements by navigating to Communications > Communications Log.

The Status icons show the tenant's interaction with the announcement. Hovering over the icons will give you more information, such as the time and date the tenant read an email or clicked a link in the email.
