What Are Announcements and How to Send Them to Tenants

Communicate with your tenants with Announcements and send messages via email, text, voice message, and through the tenant portal.

Overview

DoorLoop's Announcements feature allows you to send messages to your tenants via email, text, voice message, and posts to their tenant portal. The Communications Log allows you to check the status of these communications.

Note you can easily message a single tenant by using the instructions linked here. This article explains how to message all or some of your tenants based on the filters you choose.

Note: Announcements are not available to Starter Plans. Consider upgrading to the Pro or Premium Plans to access this feature.



The Steps

  1. To send an Announcement, click Communications on the main menu and then click Accouncements.

  2. On the Announcements page, click the + New Announcement button at the top right corner. You'll now be on the New Announcement wizard.

Step 1 - Properties / Units

You can choose which tenants receive this announcement by following the prompts to select specific Properties, Units, and Tenants.

To send the message to everyone, leave All Properties selected and then click Next.

Step 2 - Delivery Method

Select how you would like to send your announcement.

  • Email: free

  • Text Message: 1 communication credit per recipient and 140 character limit

  • Voice Message: 1 communication credit per recipient and 300 character limit

  • Tenant Portal: free

For Tenant Portal announcements, you have two additional options:

  • Post the announcement to the home screen of the tenant's portal to make sure they see it as soon as they log in.

  • Set an expiration date to remove the Announcement from the tenant's portal on that date.

Click Next to continue.

Step 3 - Announcement Content

Type in the message you would like to send.

  • Remember that Text Messages are limited to 140 characters, and Voice Messages are limited to 300 characters.

  • If you are posting an announcement to the Tenant Portal, you will be able to attach files. From their portal, tenants can download these files, as well as preview certain file types, such as PDF's and JPEG's.

Step 4 - Review & Confirm

Review the announcement delivery methods and how many credits will be used. Clicking Finish will send the announcement and Done after the notification that the Announcement has been sent.

Your tenants will not see any information for the other tenants you are messaging as part of this mass communication.

Note: If you see an error message stating that there is nothing to send, most likely this means that one of the steps above has an error in it, whether you're sending it to a Unit that doesn't have a Lease attached, no active portal, or a formatting error in the message.

Step 5

Review the status of your announcements by navigating to Communications > Communications Log.

The Status icons show the tenant's interaction with the announcement. Hovering over the icons will give you more information, such as the time and date the tenant read an email or clicked a link in the email.

Note that right now tenants cannot reply to the messages you send out through DoorLoop, they can only submit or update their tenant requests to communicate with you.


FAQ

How much does it cost to send announcements?

  • Tenant Portal or Email announcements are free.

  • Text or Voice Message cost 1 communication credit per recipient.


How much do communications credits cost?

  • 1 communication credit = $0.02

  • You will start with 10 credits per unit per month on your subscription plan and pay $10 for 500 more each time you use all of your communications credits.


Where do I review how many communications credits I have left?

  • You can see your remaining communication credits by going to Settings > Subscription and reviewing the Communication Credit box.


What phone number sends the text and voice messages?

  • Texts and voice messages are sent from (786) 743-2951. Voice messages are repeated twice.


What happens if I have more than one email address for a tenant?

  • The announcement email will go to the email address listed first in the tenant's Contact Info.


How can I delete Tenant Portal messages from my tenants' portals?

  • Navigate to Communications > Announcements and click on the three vertical dots on the right side of the tenant portal announcement line. Click on Delete to remove the announcement from DoorLoop.


How can I easily message a single tenant?

  • Navigate to People > Tenants and click on the tenant you wish to message. Once in the tenant overview page, select the Communications tab and click on the Send Message button. Follow the instructions above as you normally would, starting at Step 3.


Can Tenants reply to the messages I send them through DoorLoop?
