Overview
Whether you manually create a Prospect or DoorLoop creates one for you when a tenant submits a rental application, you can review and change that propect's information at any time.
How to View the List of Prospects
To view a list of your prospects, click People on the main menu and then click Prospects. DoorLoop's Prospects page shows you a list of all your prospects with the following information for each (if it has been set):
Prospect's Name - either first and last name or company name.
Status - DoorLoop has many statuses to choose from, so you can track your prospect workflow in great detail.
Move-in Date - you can enter a move-in date, or the prospect can when they submit a rental application.
Contact Information - phone numbers and email address.
Assigned - see which of your users is currently tasked with managing this prospect.
To search for a particular prospect, simply type the name into the search bar at the top of the page labeled Search Prospects.
You can enter a prospect's contact information directly from the People > Prospects page under the Contact Information column. Note that if you are adding an email address, it must be a valid email address. You can not enter a "fake" email placeholder and will receive an error message if you try to do so.
How to View a Prospect's Information
When you click on any prospect on the list, you enter the prospect's Overview page. Here, you can quickly see important information about the prospect, such as their contact information, current address, which units they are interested in, and more.
You will also be able to use quick action buttons to create tasks, applications, and even a new lease if you need to turn this prospect into a tenant.
The Rental Applications, Tasks, Notes, and Files tabs do the following:
Rental Applications - this tab allows you to review the rental application the prospect filled out, if they have done so.
Tasks - this tab allows you to view, edit and create tasks specifically related to this prospect.
Notes - this tab allows you to add additional information for you to refer to later. (You can also edit or delete notes later if you need to.)
Files - this tab allows you to add and view additional attachments related to this prospect. These files stay with this person if they sign a lease with you and become a tenant in DoorLoop.
Screening Reports
If you have not screened your prospect yet, you are also given the option to send them a rental application to complete the tenant screening process. With this, you'll get a credit report, eviction and bankruptcy history, and a criminal background check.
How to Edit a Prospect's Information
DoorLoop allows you to edit each prospect by clicking on the 3 dots icon on the right-hand side of each prospect line and choosing Edit.
(Or you can click on a prospect to review more information first, then click on the blue 3 dots icon in the upper right corner and choose Edit.)
Change any information you need to, clicking Save when you are done.
Tip: For more information about what type of information can be included on a Prospect's profile, read the article: Add a Prospect
Note: While you can send emails to tenants in DoorLoop using the announcements feature, you cannot send an email to prospects. If you need to communicate with a prospect, use the Communications Center feature instead and send an SMS to them.
